Summary

The Accounts Assistant is a crucial member of our Finance function, with a specific focus on Sales Ledger transactional processing. You will ensure all deals are processed, invoiced and paid  overseeing the billing process, and leading credit control functions. Reporting to the Financial Controller, this varied role would suit someone with keen attention to detail and strong communication skills, who is interested in building a career for themselves within Finance.  

Responsibilities

The Accounts Assistant will have the following responsibilities:

Sales Operations:

• Conversion of sales orders into binding contracts, ensuring accuracy and compliance with company policies
• Collaborate closely with the sales, CRM, and customer service departments to ensure accuracy of billing data
• Administration of the RFA system and issuing welcome emails to customers
• Maintain CRM records in Hubspot and Xero

Billing:

• Processing New Business, Renewals and Upsell invoicing in a timely and accurate manner
• Review repeat invoice schedules
• Update customer billing information as required
• Work with the Financial Controller to suggest improvements to existing billing procedures that reduce errors and enhance efficiency

Accounts Receivable:

• Manage and reconcile the sales ledger to ensure that all payments are accounted for and properly posted
• Verify discrepancies and resolve clients’ billing issues
• Prepare client Direct Debit submissions for review
• Day-to-day management of the Accounts Receivables email inbox

Credit Control:

• Regular review of Aged Receivables, dealing with issues preventing customer payments
• Generate Customer Statements
• Work with the Sales Team to chase outstanding invoices
• Work with the Financial Controller to improve the collections process and reduce days sales outstanding (DSO)

Experience & Skills

• Proficient in MS Office, particularly Excel. Knowledge of accounting systems would be advantageous
• Ability to handle sensitive, confidential information
• Strong communication and interpersonal skills, with the ability to communicate effectively with all levels of stakeholders
• Thrives in a fast-moving environment – possesses a willingness to develop and learn new skills
